Publishing Administration

Quick Definition

A service that handles the registration, licensing, and collection of publishing royalties globally on behalf of a songwriter, without taking ownership of the copyright.

In-Depth Explanation

Publishing Administration is a service that registers musical compositions with global royalty collection societies and collects the resulting royalties on behalf of songwriters, without taking ownership of the copyright. The admin company charges a percentage fee on collected royalties and returns the rest to the writer. For independent artists who write their own music, this is the most important business step after releasing a song.

How Publishing Administration Works

When you release a song, it generates three types of royalties:

  1. Master royalties: Collected by your Digital Distributor (like DistroKid or TuneCore).
  2. Performance royalties: Collected by your PRO (like ASCAP or BMI) when the song is streamed or played publicly.
  3. Mechanical royalties: Generated every time someone streams or downloads your song.

Here is the problem: your distributor does not collect mechanical royalties. Your PRO does not collect mechanical royalties. To collect mechanicals globally, a songwriter would need to register directly with the Mechanical Licensing Collective (The MLC) in the United States, MCPS in the UK, GEMA in Germany, SACEM in France, and dozens of other societies worldwide. This is not practical for a single independent artist.

A publishing administrator solves this. They have direct relationships with collection societies across 60 or more countries. When you register a song with your admin, they register it globally. If someone streams your song in Japan, you receive the mechanical royalty for it.

Real-World Example: Admin Pricing in 2026

As of 2026, the major publishing administration services charge different fee structures:

  • Songtrust: $100 one-time setup fee per songwriter. They charge 15% on performance royalties collected and 20% on non-performance (mechanical) royalties collected. This split fee structure took effect in January 2025.
  • Sentric Music: No upfront setup fee. Admin commission ranges from 10 to 15% depending on plan tier. Strong UK and European collection society coverage.
  • CD Baby Pro Publishing: Bundled with CD Baby distribution. Charges 15% on publishing royalties and 25% on neighboring rights.
  • TuneRegistry: Subscription model starting at $35/month with 100% of royalties paid directly to the writer.

If an independent songwriter generates $10,000 in annual publishing royalties, Songtrust would collect approximately $1,500 to $2,000 in commissions (depending on the performance vs. mechanical mix). A subscription-based service like TuneRegistry would cost $420 per year. The difference compounds as your catalog grows.

Note: DistroKid does not offer full publishing administration. Their limited service only collects mechanicals in the U.S. via The MLC, meaning international mechanical royalties go uncollected.

Why It Matters for Independent Artists

If you are an independent songwriter generating streams on Spotify and you do not have a publishing administrator, you are losing money every day. Uncollected mechanical royalties sit in global collection societies as "unmatched funds." After 2 to 3 years, those societies liquidate the unmatched funds (known as the "black box") and redistribute them to major publishers based on market share. By not claiming your royalties, you are effectively donating your money to major pop stars.

The difference between an admin deal and a traditional Publisher deal is ownership. In a traditional deal, the publisher takes 50 to 100% of your copyright in exchange for a cash advance and creative services (sync pitching, co-write setups). In an admin deal, you keep 100% of your copyright. The admin does not pitch your songs. They only register and collect.
